For insurance brokerages

Submissions, certificates, renewals:
handled as they arrive.

For independent and growing brokerages: departments that take in submissions, prepare certificates, prep renewals, work insurer portals and sort service email, while your account managers check and approve.

Where brokerages get buried

You can’t hire account managers fast enough

Experienced staff are hard to find, and the ones you have spend their day on paperwork.

Certificate requests never stop

Every request is an email to read, a policy to check and a certificate to prepare, and they all want it today.

Renewals sneak up

Renewal prep starts late because nobody had time to pull the account together, so the client conversation is rushed.

Workflows

The paperwork, handled as it arrives

These are the workflows brokerages start with. Each one works in your inbox and the portals your team already uses.

  1. Submission intake

New-business and renewal submissions gathered from email and attachments, missing information chased, and the submission put together for your account manager.

Your team approvesSubmissions, before they go to insurers

  2. Certificates

Certificate requests read from email, checked against the client’s coverage, and prepared for your team to issue.

Your team approvesEvery certificate, before it is issued

  3. Renewal prep

Ahead of each renewal, the account’s policies, notes and open items pulled into one brief, and the client asked for updated information.

Your team approvesEmails to clients, before they send

  4. Insurer portal work

Quotes, policy documents and status checked on insurer portals the way your team would, and filed against the client.

  5. Service email

Change requests, ID card requests and policy questions read, tagged and routed, with a draft reply ready.

Where brokerages start

Two departments behind your account managers

Operations takes in submissions, prepares certificates and works the portals. Customer sorts service email and preps renewals. Most brokerages start with the queue that is furthest behind.

Who it is for

Built for the people who own the number

Principals and owners

More accounts serviced with the team you have.

Will it get coverage details wrong?

It prepares and your team issues. Certificates, client emails and anything sent to an insurer wait for a person, and every action is on record.

Operations directors

Submissions, certificates and renewals moving without the backlog.

Another system for the team to learn?

It works in your inbox and the insurer portals you already use. Our operators run it every day, and your team only steps in to approve.

How it starts

From one call to a running department

  1. Assess

We map the submissions, certificates, renewals and service email your team handles, the hours it takes and the systems it touches, and pick where to start.

  2. Launch

The first workflows go live in your tools, with approval steps set and a baseline recorded.

  3. Operate

Our operators run it every day and review the results with you each month, or we hand you the keys.

Questions

What brokerages ask us

Does it work with our agency management system?

If it has an API, a database or a web portal, yes. Agents work through the API, read the database (read-only unless you allow changes) or use the portal the way a person would.

Will it send certificates or emails on its own?

Only if you let it. Certificates, client emails and anything sent to an insurer can require approval for as long as you want, set per agent.

Will it replace our account managers?

No. It takes on intake, paperwork and portal work, so your account managers spend their time with clients and insurers.

We can run it for you, or build it and hand you the keys. Compare the two paths →
